As business owners it is sometimes difficult and overwhelming when we stop and think about everything we are in charge of. The responsibility of having everything we do in the business day to day come back on us can cause a bit of stress.

How do we keep it all straight and organized? How can we handle the stress and organizational needs for the business to run smoothly? Owning a business isn’t easy, no matter what line of work you are in, and I am here to tell you that I do not have it figured out.

However, here are a few tips and tricks that I’ve learned along the way that help me and will hopefully have you striving to do better and staying organized each and every day.

Henry Ford once said, “Whether you think you can or you can’t, you are right.”

As business owners sometimes we get so caught up in the day to day grind that we forget to stay motivated for the future. How can you keep evolving as a business and do better each and every day? Start out by thinking you can.

Everyone is busy, but positivity can really alter the whole course of the day. In the morning, before the hub bub of the business day officially starts, take a couple minutes to recap something positive that has happened recently to the business. Maybe the business received an excellent review or you got a really nice thank you from a client. Think about this and the pride you can take in with another satisfied customer and then think about how you can continue this type of success.

Having positive thoughts about the business at the forefront of your mind can help you stay focused and accurately solve problems without as much of the frustration with issues that might arise. This can keep the stress level down and ensure that you remember the reason you decided to own your own business in the first place – because it was something that you enjoy!

Staying organized can be a bit tricky, especially for small business owners that handle most or all of the correspondence with clients/customers from day to day. The trick to staying on top of everything, this may sound elementary, but make to-do lists. It is difficult for anyone to remember absolutely every task they need to complete every day or week.

Creating a simple to-do list can help keep you on track. Make sure to cross each item off as the task is completed, this way, even if it is something simple like returning phone calls from missed voicemails, you can feel like you are getting things done! Once you have your to-do list written out set little timelines for each task. If you give yourself a certain amount of time that you devote to a particular item on the list, it becomes easier to complete and less distracting with other items at one time. Below is an example.

*Return Missed Calls (1 hour)

*Answer All Emails (45 minutes)

*Send Estimate to Prospective Client (1 hour)

*Come up with Ideas for Tomorrow’s Meeting (30 minutes)

Surrounding yourself with highly motivated, goal oriented people is also helpful in order to stay focused and organized. With other business connections and employees understanding your aspirations for the business, they can help you remember the big picture. Something that I find very helpful is once a month (sometimes every other month depending on how busy I am) I try to have coffee or lunch with another business owner in order to discuss things that are either stressing me out or goals I would like to reach for the business.

It is very inspiring to meet with other people that are going through the same things you are. It may seem like everyone is more organized than you, but you would be surprised once you open up about certain topics that many other business owners feel the same way. Consider it a monthly business owner therapy session.

Lastly, remind yourself that your hard work will pay off.

We have to put in the time in order to see results and sometimes it is hard to see the light at the end of the tunnel with all of the chaos going on every day in the office, but it is worth it! We are very fortunate people, a select group of people that made our dreams a reality. We get to wake up every day excited to go to work because we are doing what we love and hopefully loving what we do. So keep up the good work, stay positive and start crossing off those to-do list items.
